Grade codes are used to indicate the extent to which the Student understands the content of the class for which he or she is tested.  This also allows for tracking and reporting purposes as needed.  The Grade Codes are actually setup secondary to the Grade Type Codes which are treated like categories. For example, you could have a 'Pass/Fail' Grade Type or 'Scale' Grade Type.  Once the Grade Types are entered, then the Grades that go with each category are assigned to the right Grade Type.  So for the 'Pass/Fail' Grade Type, the individual grades would be 'Pass' and 'Fail' whereas the 'Scale' Grade Type would have individual codes of 'A,' 'B,' 'C,', 'D,' and 'F.'  

Once all the codes are setup, the appropriate Grade Type is selected for the Course File and that is defaulted into the Class File.  If the Grade Type is undetermined at the Course File level, that is ok because it only defaults into the Class File but the user creating the class has the option to add one or change it as needed.  With a determined Grade Type for the Class File, the class is held and the students are tested.  When grading the tests, the actual grades are assigned and that code table is populated with the Grades that are attached to the Grade Type selected.

User View: This field is displayed in the following locations as the user has security permissions:
- Admin > Curriculum > Course Catalog > Course File > Main Page > General Tab . Grade Type Field
- Class File > Class Details Page > General Tab > Grade Type Field
- Class File > Roster Page > Attendees Tab > Grade Field
- Student File > Activity Page > Class Enrollment Tab > Grade Field
- Class List > Take Action Column > Grade Tests > Grade Field
- Class List > Close Class Link > Grade Field

Student/Manager View: This field is displayed on the Contact Information page of the Online Application (if activated as noted above.

Import Code Key for Grade Type: GT
.csv file should contain Code & Description in that order.
 
Import Code Key for Grade Code:
.csv file can contain Code & Description & Grade Type Code. The fields must appear in this order and the last column must be the Grade Type Code. 

Creating Grades Types

Important Considerations:  Cyber Train codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Train is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Train system. These combinations include: SP_ or sp_ and XP_ or xp_. Also a double dash will be converted to a single dash. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

After clicking to add a new code, enter in the necessary information to create a new code.  Use the example above as a guide when creating the codes.

Field  Purpose 
Code Unique Identifier for the drop-down option.  This code is written in the raw data and is referenced to determine the description to show on the screen.  If the code is removed from the Admin > Codes section, this value will still be in the Class File and Student File for reporting purposes.

Important Note: The 'CI' code and the 'PF' codes are hardcoded and cannot be removed.  This is because these are hardcoded to work with specific kind of courses.  All ODT Courses are hardcoded to be Pass/Fail whereas the OJT Courses are hardcoded to be Complete/Incomplete.  While these kind of courses are hardcoded to use these Grade Types, they can be borrowed for other courses as needed.

Type Select which Grade Type this Grade should appear with when using a certain Grade Type is selected.

Inactivating Codes

These codes cannot be inactivated.

NOTE: If a code cannot be inactivated, it is not recommended to delete the code as this could cause "holes" in your data. Instead, consider adding a "z" to the beginning of the Description field as this will move the code to the bottom of the list  as the lists are generally alphabetized and then to train the users/students that anything that starts with a "z" is no longer in use.
