On-the-Job Training Types

This code table contains codes that describe each training session where the student is getting on-the-job (OTJ) training from someone and is required every time an OJT event is added to a OJT Course Requirement.  This code table helps to categorize and track the training efforts as well as make them reportable as needed.  Suggestions for the types of OJTs you might want to track are: (a) categories of trainings; (b) job types; (c) organization codes based and/or; (d) others as needed. It is important to consider all the OJT's that you might have in the company or companies to decided what should be listed here and how.

Important Note: OJT's are also a hardcoded 'Course Type' available in the Course Type code table as well. There is no additional setup to make this work, just important to note that when the Course Type = OJT, that essentially creates the OJT course.  See XXXXX to see additional information about making OJT Courses.

User View: Users see this field where tracking costs is available. 
- Student File > Activity Page > Requirements Tab - 'Edit' option for an OJT Course. 
- Course File > Events Tab - 'Add new Record' or in the table view you can see the field named 'Type'. 

Student/Manager View:
- Home Page > Manager > Requirements Section > Action/Status column.  When you hover over the column, an informational pop-up displays with all the events the student has completed including the date, type, trainer, hours and a note as entered.  The manager also has a 'Add Event' link to add a training session (event). 
- Home Page > Manager > History Section > Grade column.  When you hover over the column, an informational pop-up displays the date, type, trainer, hours and note as entered.
- Home Page > My Record > Requirements Section > Action/Status column.  When you hover the column, an informational pop-up displays with all the events (training sessions) the students has including the date, type, trainer, hours and a note as entered.
- Home Page > My Record > History Section > Grade column.  When you hover over the column, an informational pop-up displays the date, type, trainer, hours and note as entered.  


Creating On-the-Job Training Type Codes

Important Considerations:
Cyber Train codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Train is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Train system. These combinations include: SP_ or sp_ and XP_ or xp_. Also a double dash will be converted to a single dash. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

Importing Code Key: OJTTYPE
.csv file that should contain Code & Description in that order. 

Field Purpose
Code Unique Identifier for the drop-down option. This code is written in the raw data and is referenced to determine the description to show on the screen. If the code is removed from the Admin > Codes section, this value will still be in the Student file for reporting purposes unless the file is edited and saved after the code was deleted.
Description This is what is displayed on the screens and on the website for searching.

Inactivating Codes

These codes cannot be inactivated.

NOTE: If a code cannot be inactivated, it is not recommended to delete the code as this could cause "holes" in your data. Instead, consider adding a "z" to the beginning of the Description field as this will move the code to the bottom of the list as the lists are generally alphabetized and then to train the users/students that anything that starts with a "z" is no longer in use.
