Requirement Priorities

Page Location: Admin > Codes > Requirement Priorities

This code table contains codes that are used in an automated calculation for the 'Date Needed Field' on the Student File > Activity Page > Requirement Tab.  To set up the automated calculation, this field is populated in the Admin > Codes > Job Codes or Organization codes.  Once all the job codes and organization codes are enter, click the Edit Icon for each record and add the requirements that should populate the student's outstanding requirements.  When doing that, fill in the 'Requirement Priority' field to help calculate the date.  If nothing is selected here, the requirement will be added when the job code or organization code I selected but the 'Date Needed Field' will be BLANK. 

Example.  You set the job codes for the company and tie the requirements to each job code.  For one particular job code all requirements need to be completed within the first 90 days of employment.  So one of the Requirement Priority codes should be 90 days entered in the Admin > Codes > Requirement Priorities code table.  Then when you are adding the requirements to the job code, you select the Requirement Priority of 'Within the first 90 Days' code.  When a student is added to the company for this job, the 'Date Needed' for the requirements is populated based on the job start date adding 90 days out.

User View: Users see this field in the following locations:
- Admin > Codes > Job Codes > Edit Icon for a Job Code record > Add new record link OR Edit Icon > Requirement Priority field.
- Admin > Codes > Organization > Edit Icon for a Job Code record > Add new record link OR Edit Icon > Requirement Priority field.

Student/Manager View: At this time, students/managers do not see the requirement priority codes rather just see the 'Date Needed' on the Home Page > My Record > Requirements Section.

Importing Code Key: PRIOR
.csv file should contain Code & Description in that order.

Creating Requirement Priority Codes

Important Considerations:  Cyber Train codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Train is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Train system. These combinations include: SP_ or sp_ and XP_ or xp_. Also a double dash will be converted to a single dash. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

After clicking "Add new record." enter in the necessary information to create a new code.

Field Purpose
Code This is the unique identifier for the drop-down option. This code is written in the raw data and is referenced to determine the description to show on the screen. If the code is removed from the Admin > Codes section, this value will still be in the Class File for reporting purposes unless the file is edited and saved after the code was deleted.
Description This is what is displayed on the screens and for users and students when in the system.
Days This numeric value is what calculates the Date Needed field when the Requirement Priority is selected. 

NOTE: If the Day field is left blank – no calculation and the 'Date Needed Field' will be blank as well.  However, if you put in a value of 0 or higher the calculation can occur adding that number of days to the job start date to create the 'Date Needed.'

Inactivating Codes

These codes cannot be inactivated.

NOTE: If a code cannot be inactivated, it is not recommended to delete the code as this could cause "holes" in your data. Instead, consider adding a "z" to the beginning of the Description field as this will move the code to the bottom of the list  as the lists are generally alphabetized and then to train the users/students that anything that starts with a "z" is no longer in use.
