Class Enrollments - Student File

The Class Enrollment Tab section is where System Users (Training Admins / Instructors / Select Managers) can go to see what classes the student is enrolled and/or has completed as well as tests and surveys.

The Instruction bar at the top of the page is collapsible.  This message is used to help understand what actions can happen from this section of the system or any other messages that need to be displayed.  If the instructions/messages are understood and should not display all the time, collapse the section by clicking the ^ icon at the top right-hand side of the table. This will free up space on the page.


The classes display in order of ODTs and then in order of Class Start Date - oldest to newest.  To not see all the historical information, check the Hide Complete checkbox as it hides all classes where status = Complete.
 
Column Name  What the Information Is Actions Available 
Name

 

The name of the class enrollment is displayed here.

The column is sortable and by clicking on the Name link you can sort by ascending/descending order.  When you hover over the name, there is a hyperlink to the class as one needs the shortcut. 
Description The description of the class is here.  When you hover over the item, a pop-up box appears with the Course Name, Type, Start Date, Location & Description. 
 Status  This indicates where the student is with the class

 There are a few different statuses that could display here:

  • Enrolled - the student is enrolled and the class has not happened yet or has not been updated
  • Completed - this a class the student has been graded and the student has Passed/Completed it
  • Failed - this is a class the student took but did not pass for one reason or another. 
Attachments

 

If there are attachments to consider with the class, the information is displayed here.

This column contains an icon.  When you hover over the item, a pop-up box appears with a list of attachment names.  Each one is a hyperlink to that document.
Class Start

 

This column displays a date and time when the class is instructor led and Relaunch link when the class is an On-Demand Training (ODT) class. 

NOTE: When an ODT Class is closed, the ReLaunch link will no longer be available for students to click so that they are not confused as to what class they should be taking for new training requirements. 
Test This column displays a test icon when the test is outstanding and a green check mark when the test is completed. 

There are a couple of things to know about tests with classes:

(1) The test does not pop-up for the student to take upon completing an ODT class. It is something that the student has to navigate towards at the right time.

(2) When a test is completed, it is given a green checkmark to indicate it is complete NOT passed.  

(3) If a test needs to be reset and taken again, it will be through this hyperlink but that is detailed out further down the page. 

Survey

 

This column displays a survey icon when the survey is outstanding and a green check mark when the survey is completed.

How to add a class enrollment?

Click the Add new record link at the top left-hand side of the table. 

From this page, select all the details needed to add the student to the class.

 
Column Name  What the Information Is Actions Available 
 Classes

 The name of available and upcoming classes.

 Select the class by highlighting the name.
 Enable Approval Process                  This checkbox launches the class enrollment approval process (acts like if a student registered for this class from the Home page. Default is not checked assuming the student is being placed directly into the class.
 Enroll Status  This indicates where the student is with the class. 

Default is Enrolled and it is pulled from Admin > Codes > Student Enrollment Statuses code table.

 Enrollment Date

 The date the student is enrolled into the class.


 Paid  This is a Yes/No field.  Default to BLANK.

 Use this field when the class is charged to the student/department and tracking for who has paid is necessary. 

 Paid Date

 

The date the student or department paid for the class.

 Note   Additional Information as needed to be captured with the class enrollment.  


How to look at at test or reset it as needed?

Notice the Test column has two different icons.  One is the paper with bulletpoints which means the student has not taken the test yet whereas the green check-mark icon that indicates the student has completed the test.  (NOTE: Completion does not equal passing).    

 


 
Click the Paper Icon to fill in the test answers from a paper test OR allow a student to take the test from their file as needed.  Click Save Answers button to save the test where it is and come back to it or the Submit Test button when done.

 

Click the Green Check-Mark to review the test questions and answers submitted. 

 


 

From here, one can see what the point scores are for each answers.  If the overall score is not passing, click the Click here to have this student re-take this test.  NOTE: The link will not display here if one is in their own file.  One cannot reset a test for themselves.
