The Requirements section is where Managers go to see what training requirements are outstanding for their direct (and indirect) employees. Depending manager can request enrollment into a class or request a new training requirement be added to the system. Security permissions for this section of the Manager Home Page is determined in the Security > Home Page setup.

The columns of information displayed on the Requirements section is to help you know a little more about your employee's outstanding requirements. The requirements are displayed in order of Employee Name. Additionally there is a Group button at the top left-hand corner of the table. When clicked, the page refreshes and groups the students by training requirement and the button reads UnGroup.

Group - When this is displayed there is no group applied to the page, the outstanding requirements are listed individually by student (employee).
UnGroup - When this is displayed the students (employees) are grouped by the outstanding training requirements. |
Student |
This is the student (employee) name. The person who has the outstanding requirement. |
The column is sortable and by clicking on the Student link you can sort by ascending/descending order. When the information is not grouped, the table is initially sorted by this column alphabetically. |
Name |
This is the name of the outstanding requirement. |
The column is sortable and by clicking on the Name link you can sort by ascending/descending order. When the information is grouped, the table is sorted by the outstanding requirements alphabetically. |
Date Needed |
This date is the date the requirement is needed to be complete. |
The column is sortable and by clicking on the Date Needed link you can sort by ascending/descending order. |
Action/Status |
Depending on the kind of requirement, different information is displayed here. |
This column contains hyperlinks and displayed words depending on the kind of requirement.
- No classes Available - this message displays when the student (employee) has a requirement but there is not an option to Search for a class.
- Search - this hyperlink displays when a class is available to Register or Launch.
- Enrolled - this message displays when the student is enrolled in a class.
- 4.0 /10.0 - this read-only hyperlink is reserved only for On-The-Job Training (OJT) requirements. The first number indicates the number of hours completed and the second number is the total number of hours needed to complete the requirement.

When theSearch hyperlink is available to in the Action/Status column, click the Search link, to display all available classes for that requirement. If the class is in an on-demand training (ODT) format, a Launch link is only available to the student. As a manager, you will see a 'Read Only' On-Demand status whereas if the class is a scheduled instructor-led class with a date and time, a Register link is available. With the Register link you have the ability to start the enrollment approval process.
With non-ODT classes, if the are prerequisites to taking the class, you will not be able to Register. Instead, a message displays with the required prerequisites needed. Additionally, if the class is full, a message displays indicating the student has been waitlisted.

If this option is available in the Requirements section via Home Page Security Permissions, you will have an Add new record link at the top left-hand corner of the table. Typically, this is done when a new requirement is needed for employees to do their jobs and/or for the division, department, and/or location your employees are working and the training administrator has not added the requirement yet.
Upon clicking the Add new record link the following form, or one similar to it, becomes available.
This page shows all your direct employees as the default is set to Direct Reports Only. If you want to see all your reports (direct and indirect) toggle the radio button to the All Reports option. The page refreshes and displays all your employees as well as your employee's employees. You can sort your employees by the various columns in order to see them as needed.
Check the checkbox in the upper left-hand corner of the table (in the header) if you want check all or uncheck all employees. Otherwise, pick and choose the employees who need the new requirement by checking the checkbox individually. Once you have all the employees checked, click the Continue button to move forward.
The Students selected are listed at the top of the page, select the requirements needed from the pick list. To select more than one Requirement, hold the CTRL key down.
Select the Priority and Based On information to calculate the appropriate 'Date Needed' for the requirement(s) selected. The Priority field indicates the number of days out the requirement should be from the Based On date selected. Using the example above, the 'Date Needed' will be 60 days from Today's Date. Set the Job Requirement field to Yes if the requirement added is a requirement needed for the employee(s) to the job. Enter any additional information in the Note field. When done, click the Submit button at the bottom of the page to add the new outstanding requirements to the student(s) selected.
If the requirement you need is not in this list, click the Request Course hyperlink.
Here you can enter the an explanation of what is needed for your new outstanding requirements. Click the Submit button to send an email to the 'Default' email listed in System Setup.

This section creates reminder messages in the Messages section for you to see which of your employees have outstanding requirements located in the left-hand menu bar of the Home Page. The messages number (##) will increase to indicate a new messages.
Additionally, if the Alerts feature setup upcoming requirements coming due, automated reminder emails might be sent out to you, your manager and/or training administrator.
