Class Locations

Page Location: Admin > Codes > Class Locations

This code table contains codes that describe various locations where trainings can be held along with the capacity for that location. It populates the drop-down list for Location field in the Class File > Class Details Page > Location/Schedule/Content Tab.  Once the location is selected, the Capacity field updates and pre-fills it with the value entered with the code. 

User View: Users see this field where class location is available. 
- When the user is adding a new class, the 'Add Class' page contains the Location/Schedule/Content Tab which is where the class location and capacity fields are located in the wizard like process. 
- The field is also located in the Class  File > Class Details Page > Location/Schedule/Content Tab.
- Additionally the capacity field is located in the Class File > Roster Page and when that number is reached the capacity either needs to be increased for the students to make it to official 'Attendees Tab' or students are reside on the 'Wait List' Tab.

Student/Manager View: Students/Managers do not see the capacity at this point but cannot enroll when the class is full, a message does indicate that the class is full.  However, they can see the location information for the class.  Students can see the 'Location' when they hover over the 'Description' column for the class in either the Home Page > My Record > Classes section or Search Classes section. Managers can the 'Location' on the Home Page > Manager > Classes Section - Click on the student's name to see all current classes the student is enrolled and that view is similar to what the student sees in his/her own classes or search classes section. 

Importing Code Key: CLOC
.csv file should contain Code & Description in that order.

Creating Class Location Codes

Important Considerations:  Cyber Train codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Train is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Train system. These combinations include: SP_ or sp_ and XP_ or xp_. Also a double dash will be converted to a single dash. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

After clicking "Add new record." enter in the necessary information to create a new code.

Field Purpose
Code This is the unique identifier for the drop-down option. This code is written in the raw data and is referenced to determine the description to show on the screen. If the code is removed from the Admin > Codes section, this value will still be in the Class File for reporting purposes unless the file is edited and saved after the code was deleted.
Description This is what is displayed on the screens and for users and students when in the system.
Capacity

This numeric value is what populates the Capacity field when the Location is selected. 

NOTE:  It is recommended that there be a value in the Capacity field here, so that something pre-fills when adding a class.  If the capacity is 0, no one will be able to enroll in the class as the capacity is seen as full.  Users, who have permission to do so, can change the pre-filled value should that be necessary.

DO NOT ENTER MORE THAN 999 FOR THE CAPACITY. IF YOU ENTER A NUMBER HIGHER IT WILL THROW AN ERROR AND YOU CAN NOT CREATE THE CLASS.

User View: The user sees the maximum number allowed for this class.
Student/Manager View: The student/manager sees the class is full when enrolling for in a class that has met its full capacity.


Inactivating Codes

These codes cannot be inactivated.

NOTE: If a code cannot be inactivated, it is not recommended to delete the code as this could cause "holes" in your data. Instead, consider adding a "z" to the beginning of the Description field as this will move the code to the bottom of the list  as the lists are generally alphabetized and then to train the users/students that anything that starts with a "z" is no longer in use.
