Groups

Admin > Security > Groups

The Groups menu item of Admin > Security defines the sections and pages which a user can access as well as the level of access for each of the pages.  Once User Security Groups are created, Users can be linked to that Group. (Note: Due to the sensitive nature of the fields on these pages, it is best to consider upfront who should have the ability to access and update fields/pages).

To add additional security Groups click the Add button and to delete a security group click the X at the end of the Group line. (NOTE: Before deleting a Group, check to see if any Users are attached to it and reassign them before deleting the Group.  If a Group is deleted and Users are attached, those Users will not be able to log in to Cyber Train.)  The Copy link allows Users to copy a certain security group’s permissions into a new group.

To edit a Group’s permissions, click on the Edit icon (pencil) at the beginning of the Group line. Options will include:

  • None: Users are not be able to see this page at all
  • View: Users are able to see the page (read only) but will not be able to change anything  
  • Update:  Users are able to see, add, change and delete items on the page
  • Add Only: Acts like View status but also allows Users to add new items to the page

Curriculum Tab 

This area of security controls the options in both the Admin > Curriculum section and the Course File. 

Main Course Info

  • Options - None, View or Update
  • When set to NONE, the Course Catalog is not available at all
  • Controls access to the Main Page of the Course File

Main Program Info

  • Options - None, View or Update
  • When set to NONE, the program section will be removed from the Curriculum area of Admin

Main Credential Info

  • Options - None, View or Update
  • When set to NONE, the credential section will be removed from the Curriculum area of Admin

Course Pre-reqs

  • Options - None, View or Update
  • Controls access to the Course File > Prerequisites Page

Course Notes

  • Options - None, View, Add-Only or Update
  • Controls access to the Course File > Notes Page

Course Attachments

  • Options - None, View, Add-Only or Update
  • Controls access to the Course File > Attachments page

Course Approvers

  • Options - None, View, Add-Only or Update
  • Controls access to the Course File > Approvers Page

Course Test Questions

  • Options - None, View, Add Only or Update
  • Controls access to the Course File > Course Test Page

Course Students Needing

  • Options - None, View, Add Only or Update
  • Controls access to the Course File > Student Needing Page

Course Student Taken

  • Options - None or View
  • Controls access to the Course File > Student Taken Page

Course Skills

  • Options - None, View, Add Only or Update
  • Controls access to the Course File > Skills Page

Course History

  • Options - None, View, or Update
  • Controls access to the Course File >  Page

Can Copy Course

  • Options - No or Yes
  • Allows the user to copy a course file so that the user does not have to create one from scratch.

Student Tab

This area of security controls the options in the Student File as well as some overall permissions with students. 

Demographics Info

  • Options - None, View or Update
  • When set to NONE, the Student Name fields, Student Status and Primary Email and Phone fields section will be removed from the Student File > Contact Info Page > Contact Tab but the rest of the information on that page still displays
  • Controls access to the top part of the page in the Student File > Contact Info Page > Contact Tab

Home Contact Info

  • Options - None, View or Update
  • When set to NONE, the Home Contact information section will be removed from the Student File > Contact Info Page > Contact Tab but the rest of the information on that page still displays
  • Controls access to part of the page in the Student File > Contact Info Page > Contact Tab

Work Contact Info

  • Options - None, View or Update
  • When set to NONE, the Work Contact information section will be removed from the Student File > Contact Info Page > Contact Tab but the rest of the information on that page still displays
  • Controls access to part of the page in the Student File > Contact Info Page > Contact Tab 

Personal Info

  • Options - None, View or Update
  • Controls access to the Student File > Contact Info Page > Personal  Details Tab

Job Info

  • Options - None, View or Update
  • Controls access to the Student File > Contact Info Page > Job Details Tab

Notes

  • Options - None, View, Add Only or Update
  • Controls access to the Student File > Notes Page

History

  • Options - None, View or Update
  • Controls access to the Student File > History Page.

Correspondences

  • Options - None, View, Add Only or Update
  • Controls access to the Student File > Correspondence Page

Opt-Out Requests

  • Options - None, View  or Update
  • Setting this option to VIEW will prevent a user from starting the opt-out process
  • Controls the opt-out ability on the Student File > Activity Page > Requirements Tab

External Classes

  • Options - None, View, Add Only or Update
  • Controls access to the Student File > External Classes Page

Can Add Students? 

  • Option - No or Yes
  • Allows the user to add manually add students to the system. 

Can Delete Students?

  • Option - No or Yes
  • Allows the user to permanently delete students from system.

Requirements

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Activity Page > Requirements Tab

Courses Taken

  • Options - None, View, Add Only or Update
  • Controls access to the Student File > Activity Page > Courses Taken Tab

Programs

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Activity Page > Programs Tab

Credentials

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Activity Page > Credentials Tab

Class Enrollments

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Activity Page > Class Enrollments Tab

Miscellaneous

  • Options - None, View or Update
  • Controls access to the Student File > Miscellaneous Page

Attachments

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Attachments Page

Formal Education

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Contact Info Page > Formal Education Tab

Tuition Assistance

  • Options - None, View, Add-Only or Update
  • Controls access to the Student File > Tuition Assistance Page

Skills

  • Options - None, View, Add Only or Update
  • Controls access to the Student File > Skills Page

Can Print Data Dictionary

  • Options - No or Yes
  • Allows the user to see the Data Dictionary document.

 

Classes Tab

This area of security controls the options in the Class File as well as some overall permissions with classes. 

Class Details

  • Options - None, View or Update
  • When set to NONE, the Class Details Page is removed Class File (meaning 'Class Description,' 'Cost,' 'Miscellaneous,' and 'Approvers' security group options for classes will not be available when this option is at that the NONE permission.)
  • Controls access to Class File> Class Details Page

Class Description

  • Options - None, View or Update
  • Controls access to part of the page in the Class File > Class Details Page > General Tab

Roster

  • Options - None, View, Add-Only or Update
  • Controls access to Class File > Roster Page

Costs

  • Options - None, View or Update
  • Controls access to the Class File > Class Details Page > Costs Tab

Can Add Class? 

  • Option - No or Yes
  • Allows the user to add manually add students to the system. 

Can Close Class? 

  • Option - No or Yes
  • Allows the user to go through the 'Close' process.  This does not control the field that indicates the status of the class rather the process that is found on the Class List at the end of the non-ODT class records.

Can Delete Class?

  • Option - No or Yes
  • Allows the user to permanently delete classes from system.

Notes

  • Options - None, View, Add Only or Update
  • Controls access to the Class File > Notes Page

Miscellaneous

  • Options - None, View or Update
  • Controls access to the Student File > Class Details Page > Miscellaneous Tab

Attachments

  • Options - None, View, Add-Only or Update
  • Controls access to the Class File > Attachments Page

History

  • Options - None, View or Update
  • Controls access to the Class File > History Page.

Approvers

  • Options - None, View, Add Only or Update
  • Controls access to the Class File > Class Details Page > Approvers Tab

Class List

  • Options - None, Training Admin or Instructor
  • Options 'Training Admin' or 'Instructor' display the Class List as it was configured to be set up for that audience in Admin > Page Builder > Class List
  • Option NONE removes the shortcut link completely.
  • Controls access to the Class List shortcut link at the top of the page. 

Class Tests

  • Options - None, View or Update
  • Controls access to the Class File > Roster Page > Test Score Column; Student File > Activity Page > Class Enrollment Tab & Courses Taken Tab

Class Surveys

  • Options - None, View or Update
  • Controls access to the Class File > Roster Page > Survey Column;  Student File > Activity Page > Class Enrollment Tab & Courses Taken Tab

Report Writer

This tab contains the security for the custom Report Writer .  This tab will NOT show if the product version is for Express.  If either field is set to YES, then select the appropriate report categories this group of Users can view and/or design.

View Reports?  - Setting this field to Yes allows a User to view any reports which have been created.  Only reports in the selected categories will be available for viewing.

Design Reports?
- Setting this field to Yes allows a User to edit or create new reports and dashboards.

Report Categories
- Highlight the categories of reports which this group of users should be able to view or utilize when creating new reports.  It is recommended that the 'Master' security group have access to all the categories created.  If the 'Master' group does not have access to a category which contains a report that is being scheduled to send automatically, the report will not be generated.

Dashboards
- Dashboards are groups of reports displayed together in one screen.  Highlight the dashboard group which this group of users should be able to view or update.

 

 

Help

This tab contains the available pieces for the Main Menu Bar > Help.

Help Central - Check-mark this option to allow a user to access this tool.
About - Check-mark this option to allow a user to view 'About' information regarding the system.  Information will include the server and database name but will not include any password information.
