xeOffer Letter

Page Location: Admin > Website > eOffer Letter

The E-Offer is a unique webpage which allows and Applicant to view his/her Offer Letter from a PDF online and then he/she can accept or deny the offer.

Website Configuration

In the Admin > Website > E-Offer Process Page, specify the details which will enable the website to function and appear professional to anyone to receives an E-Offer.

Field  Purpose 
Header The field appears as the header for the page after the applicant clicks on the link to view the offer. 
Overall Status Choose which status the Applicant Overall Status should change to upon acceptance of this offer (if desired).
Req Status Choose which status the Applicant Status for this position should change to upon acceptance of this offer (if desired).
Message on e-Offer Page Displays instructions to the Applicant/Employee on how to use the page.
Message When Accepted Compose a message to appear when the Accept Button is pressed.
Message When Declined Compose a message to appear when the Declined Button is pressed.

Custom Email Setup

In the Admin > Page Builder > Correspondence Templates > Custom Template Page, select to edit the template for the Offer Letter Email Template. If one is not created, please ADD a record instead of editing it.

Use the drop-down list for Fields to find the corresponding merge fields for an Offer Letter. There are merge fields to be used for any requisition – which starts with Position – and there are fields to be used related to the Position for an Offer. Ensure that the merge fields are related to the Offer and not just a Position. This may require replacing fields which were previously in use and updating the template with new merge fields. To display the link to the E-Offer Page, find the Offer Letter Link in the Fields drop-down list and ADD this field where it should appear in the email.

Available Merge fields with should be used when generating an offer email that includes the eOffer link:

Offer Req Code "Code" connected to the offer stored on the Offers tab of the Activity page.
Offer Req Title "Job Title" connected to the offer stored on the Offers tab of the Activity page. 
Offer Req Recruiter "Recruiter" connected to the offer stored on the Offers tab of the Activity page.
Offer Req Manager  "Manager" connected to the offer stored on the Offers tab of the Activity page.
Offer Expires "Expires Date" from the offer stored on the Offers tab of the Activity page.
Offer Start Date "Start Date" from the offer stored on the Offers tab of the Activity page.
Offer Start Date (Long) "Start Date" in a long format.
Offer Start Date Day of the Week Day of the week for "Start Date".
Offer Starting Salary "Salary" from the offer stored on the Offers tab of the Activity page.
Offer Req Note Notes connected to the offer stored on the Offers tab of the Activity page.
Offer Req Salary Grade "Salary Grade" field description connected to the offer stored on the Offers tab of the Activity page.
Offer Req Organizational Level (1-5) "Organizational Level" (1-5) field description connected to the offer stored on the Offers tab of the Activity page.
Offer Req Functional Title "Functional Title" field connected to the offer stored on the Offers tab of the Activity page.
Offer Req Exempt Yes or No from the "Exempt" field connected to the offer stored on the Offers tab of the Activity page.
Offer Req Schedule "FT/PT" field description connected to the offer stored on the Offers tab of the Activity page.
Offer Req Miscellaneous (1-20) Field description from the specified field connected to the offer stored on the Offers tab of the Activity page.
Offer Letter Link This is a mail merge field which creates a hyperlink to a page where the Applicant can respond to the Offer Letter. The field has two parts to the merge field. "OLLink" is the programming that goes to the response page, overwrite the text "Enter Caption Here" with what should be shown in the email as the hyperlink to click.


Usage

The email is designed to be launched from the Activity > Offer tab. After the offer details have been submitted, create the offer letter from this tab by pressing the 'Change' link and then create the email by pressing the 'Email' link.  

Note:  This process WILL NOT work if the email is created from the Correspondence page.
