xRequisition - Miscellaneous

Page Location: Admin > Page Builder > Requisition > Miscellaneous

The Miscellaneous menu item of Admin > Page Builder > Requisition determines how the Main and Job Description page of the requisition fields will look throughout the system. In addition, it allows the administrator to determine the default columns which appear on the Applicants page of the Requisition. The setup of this page controls six (6) other sections of the system.

  1. Admin > Codes > Misc > Requisition
    • Menu options will appear here with the caption entered for the individual misc fields if the box next to the field caption is checked.
  2. Requisition file > Main page
    • Field names will change based on the captions entered for the field name and the misc fields.
  3. Page Builder > Requisition > Create Req Form > Main Page  
    • Fields activated on this page can be referenced (mapped) when creating a new requisition.
  4. Page Builder > Requisition > Create Req Form > Req Code Generation  
    • Fields activated on this page can be used to assign an automatically assigned requisition code during the creation process.

General Tab

This tab controls the "General" tabs of the Main page of the requisition file.  Fields appear on this tab in the same order as they appear on the Main page of the requisition.  Activate a field by typing a field name as it should be displayed on the Main page using the open text box. The field is inactivated if the caption box is left blank.  When adding a field to the Create Req Process, be sure to first add the field to this page.  This is the starting point for all setup.

Field  Displays / Purpose
Code Code for the requisition.
Title Job Title for the requisition. 
Manager Name of the manager assigned to this position. Names which appear here are controlled by the "Manager" field in User Security. Often this is re-named "Hiring Manager".
NOTE: this name cannot be changed in the Express version.
Recruiter Name of the recruiter assigned to this position.  Names which appear here are controlled by the "Recruiter" field in User Security.  
NOTE: this name cannot be changed in the Express version..
Requisition Reason Description for the code connected to the code table for "Requisition Reason" (New Position, Replacement, Budgeted for FYxxx,  etc.)
Replacing Name of the person who is being replaced. Typically this field is used if "Replacement" is the reason.
Auto Open Shows a Yes/No indicating if the job will following the posting rules established in the setup for the submissions and approval process.  
Application Shows which online application template will be used by applicants for the application process. 
Skip Recruiter 
Allows for the pre-set system defined actions of the website setup to be ignored and for the evaluation process to skip the Recruiter and go straight to the Manager.
Featured Job Shows a Yes/No indicating this job will display on the Featured Jobs page of the careers site.   Additional setup is needed in order to establish this page on the careers site. 
Openings Indicates how many openings are needed for this requisition.  Typically this is 1 but could be more.
Remaining Openings Works with the 'Openings' field and the 'Filled By' fields to track how many openings remain for this requisition. 
Filled By Adds a section to which displays all applicants connected to the requisition who have a final status where the code starts with the word HIRED.
   
Status Description for the Current Status of the requisition.  Security to change the value of this field is controlled via Group Security.  So, this field can be view-able on the page but not change-able. 
Status Date Date of when the Current Status was assigned.
Requested Date Date of when the requisition was requested.
Date Needed Displays the date this requisition needs to be filled by.
Open Date Date of when the requisition was opened for applications.
Date Posted Externally Date of when the requisition was posted to the careers site for application by non-employees.
Apply To URL

URL of the careers website where the job is posted.  This value is used to create a full URL for publication in emails and other job boards to direct the applicant to the website.

 

NOTE: This path should be to the starting page of the careers site and does not need the 'careers.aspx' page reference. 

  • Required when posting to ZipRecruiter.
  • Required when posting to Indeed.
  • Recommended when using the Refer a Friend feature.
Date Posted Internally Date of when the requisition was posted to the Applicant Portal for application by employees.
Remove Posting Date of when the job was (or should be) removed from all sites controlled by Cyber Recruiter. 
Fill Date Date this position was filled.  Often this re-named "Closed Date".  This field controls the Time-to-Fill report as well as the "Days Open" field.

Job Info Tab

This tab controls the "Job Info" tab of the Main page of the requisition file.  Fields appear on this tab in the same order as they appear on the Main page of the requisition.  Activate a field by typing a field name as it should be displayed on the Main page using the open text box. The field is inactivated if the caption box is left blank.  When adding a field to the Create Req Process, be sure to first add the field to this page.  This is the starting point for all setup.

Field  Displays/Purpose
OLevel 1 - 5 These fields correspond to levels of the organization. Levels can be in a hierarchal order; 
represent different functions, areas of the organization, or recruiting process; or match levels in a shared HR system to keep consistency with New Hire transfers. After the titles are entered here, code tables for each become available in Admin > Codes > Organization Codes where the Administrator can populate them. Security also can be tied to these levels in Admin > Security > User Profiles.

 Depends On These drop-down options allow for a company to link together the organizational levels in a hierarchical fashion. For example, if two departments (Organizational Level 2) are in Alexandria and the rest of the departments are in Reston, a company can make the departments dependent on Location (Organizational Level 1.) This is designated by putting a 1 in the drop-down list. For each location chosen a different department list will appear. Additional setup is needed to link the organizational levels together under Admin > Codes. 
Job Type

Displays the description for the code connected to the code table for "Requisition Types", allows for classification of jobs based on the type of job (Finance, Human Resource, Information Technology, etc.)

  • An optional field when sending to Indeed (aka "Category" on the Indeed setup page).
Functional Title Description for the code connected to the code table for "Functional Title".  This allows for multiple requisitions to be connected back to the same Job Title for reporting purposes.
EEO  Shows Yes/No depending on of the requisition is eligible for overtime
Exempt Description for the code connected to the code table for "EEO Class".
FT/PT

Description for the code connected to the code table for "Requisition FT/PT"

  • An optional field when sending to Indeed (aka "Job Type" on the Indeed setup page). 
Direct Shows Yes/No depending on if the requisition is a directly billed position. 
   
Salary Grade Description for the code connected to the code table for "Salary Grades", allows for grades to be entered which pre-filled Salary From and Salary To.  This field can be turned on globally but then restricted in Group Security if needed.
Mid Point Midpoint value determined based on the specified minimum and maximum salary values.
Salary From

Minimum salary for this requisition. This field can be turned on globally but then restricted in Group Security if needed.

  • An optional field when sending to Indeed. 
Salary To

Maximum salary for the requisition. This field can be turned on globally but then restricted in Group Security if needed.

  • An optional field when sending to Indeed. 

Location

This tab controls the "Location" tab of the Main page of the requisition file.  Fields appear on this tab in the same order as they appear on the Main page of the requisition.  Activate a field by typing a field name as it should be displayed on the Main page using the open text box. The field is inactivated if the caption box is left blank.  The tab is inactive if all fields are left blank. When adding a field to the Create Req Process, be sure to first add the field to this page.  This is the starting point for all setup.

 

Street 1 Display a primary address field
Street 2 Display a secondary address field (Suite, for example)
City

Display the city connected to the requisition.

  • City is a required field for Indeed. If all the jobs are in the same city, a default for the system can be established via the System Setup page so the country is not needed on each requisition.​
State

Display the state connected to the requisition.

  • State is a required field for Indeed. If all the jobs are in the same state, a default for the system can be established via the System Setup page so the country is not needed on each requisition.
County Display the county connected to the requisition
Country

Display the country connected to the requisition.

  • Country is a required field for Indeed. If all the jobs are in the same country, a default for the system can be established via the System Setup page so the country is not needed on each requisition.
Postal Code

Displays the zip code where this requisition is located.

  • Required when posting to ZipRecruiter.
  • An optional field when sending to Indeed. 
  • Can be used to do searches against the applicant data to find people within a radius of the zip code on the job.

Misc. Fields

This section controls the "Miscellaneous" tab of the Main page of the requisition file. Activate a field by typing a field name as it should be displayed on the Miscellaneous tab using the open text box. The field is inactivated if the caption box is left blank.

The very first field on controls the name of the tab.  If the page name is left blank, the tab on the Main page will display "Miscellaneous"; otherwise, the name entered will appear on the tab.

Each of the twenty (20) fields can be in a fill-in the blank or a drop-down format. All fields are stored in the database as a 'character' field even if numbers or dates are entered.  To make the field appear as a drop-down, check the box next to the caption.  The field name will then appear under Admin > Codes > Miscellaneous > Requisition so codes and descriptive values can be entered.

These fields can also be displayed to Applicants in the search or job description for the posting on the careers portal by activating the field in the Careers or Self Service setup.  Go to Admin > Website > Careers for setup options. 

 

Job Description

This section controls the tab names and display on the Job Description page of the requisition file. Activate a tab by typing a field name as it should be displayed page using the open text box. The tab is inactivated if the caption box is left blank.

Req Assigned Applicants

System defaults for the Applicants page are Status Date, Routings and Score. This tab allows the system admin to alter the defaults for the system and to display up to 3 pieces of information in addition to the Applicant's name, resume links, date of assigned to this position, and current status. Options can be overwritten on a user by user basis by using the My Preferences page. 


If options are selected for even one of the columns then the new preferences will be used instead of the defaults. Removing all the items in the drop-down box will restore the defaults set by the Administrator.

Option Purpose/ Page / Value 
Application Date Date the person applied to the system (Status/History page).
Overall Status Global status for this person (Status/History page).
Status Date Date which corresponds to the current status for this requisition.
Notes Quick link to the Notes page.
Add a Note Action to add a note to an Applicant's record.  Taking this action will return the user back to the Inbox.
Routings Quick link to the Routings tab of the Activity page.
Correspondence Quick link to the Correspondence page.
Send an Email Action to send an email to the Applicant.  Taking this action will return the user back to the Inbox.
Interviews Quick link to the Interview tab of the Activity page.
Experience Quick link to the Experience page.
History Quick link to the Status/History page.
Application Quick link to the Application page.
Web Requisition Displays the first job this Applicant applied to on the website using Cyber Recruiter.
Assigned Requisitions Link Quick link to the Assigned Requisition tab of the Activity page.
Offers Quick link to the Offers tab of the Activity page.
References Quick link to the References page.
Position Desired Displays the field "Position Desired" found on the Application page.
Referral Source Displays the field "Overall Referral Source" found on the Application page. 
Position Referral Source Displays the field "Referral Source" connected to the specific applicant for the requisition which is viewed.
Desired Salary Displays the field "Desired Salary" found on the Application page.
Primary Phone Displays one of the Phone number fields found on the Demographics page.
Display depends on which is listed as the Primary phone number.
City, State/Provence Displays the "City" and "State/Province" found on the Demographics page.
Attachments Will show the number of Attachments connected to the Applicant.  Is also a quick link to the Attachments page.
Security Clearance Quick link to the Security Clearance tab of the Experience page.
Military History Quick link to the Military History tab of the Experience page.
Misc Applicant  (1-20) 20 variable fields which display information from the Misc. page.
Misc App/Req (1-10) 10 variable fields which display information from the Misc. tab of the record stored either on the Activity > Assigned Req page or the Requisition > Applicants page.
Status Action Automatically change the status and take action (defined by the Administrator).  
NOTE: This ONLY updates the status for the Web Requisition.  It cannot be used for all positions.
Recommend using the Attached Reqs (Desc: Status) or Attached Reqs (Code: Status) instead.
Request Offer Action to request and offer. Taking this action will return the user back to the Inbox.
Score Displays the Score for all questions related to this requisition in a XX/XX/XX format.
Application Questions / Requisition Questions / Interview Questions.
Clicking on the score will display the report listing the questions, answers, and rating. 
Applicant # Displays the automatically assigned Applicant Number.
Ethnic Origin Displays the "Ethnic Origin" field found on the EEO tab of the Demographics page.
Gender Displays the "Gender" field found on the EEO tab of the Demographics page.
Applicant Profile Displays a link to the Applicant summary report which consolidates the demographics, application questions, jobs to which the applicant has applied, questions connected to the job which the applicant has answered, education, employment, skills, security clearances, military history, references  and the applicant agreement.
