xTaking Your System To the Cloud

The following instructions are designed as a guideline for preparing to move the Cyber Recruiter system and the Careers site to the Visibility Software Cloud. If you are interesting in this option, please contact our support staff who will be able to provide a quote and further details on this option (800-914-9594 x 2).
Moving a live Cyber Recruiter system to a Cloud environment requires a little coordination. The following steps are required to move the system. Additional steps could be necessary. Items below can be sent to Visibility in a staggered approach. Talk to your Visibility Software consultant if you have questions at any time.
What We Need From You
- Your Careers Site
- NOTE: If you are using an iFrame in your current environment, this will be removed when moving to the cloud. This is not a supported configuration in the cloud.
- On the web server where the careers site is installed, navigate to the folder where the careers files (aspx pages, css files, etc.) are located.
- Zip the entire directory and upload this to a site specified by Visibility Software.
- If you are unsure where the careers folder is located on the web server, you can check the Physical Path for the web page in IIS. If you are unsure of how to do this, please contact your Visibility Software contact.
- If your web server is unavailable and you are pulling data from a backup, typically the files will reference "Careers"
- Your Database
- On the SQL server where the Cyber Recruiter database is installed, create a backup of the database. This is a function within SQL Tasks which compresses the database and includes the relevant information needed for the transfer. Log files are not needed. DO NOT export the data. Specific names and pages referenced could change SQL version to SQL version, but the general settings below are important.
- Recover Mode model should be FULL
- Backup Component should be Database
- File type should be Backup File (*.bak, *.trn)
- If your SQL server is unavailable and you are pulling data from a backup, the database name typically is "CyberRecruiter". You will need to restore the full backup and then perform the SQL backup function above.
- Your Reporting Folder
- On the web server where Cyber Recruiter is installed, navigate to the folder for Cyber Recruiter.
- Zip up the "Reporting" directory and upload this to a site specified by Visibility Software.
- By default Cyber Recruiter would be installed under Program Files\Visibility Software\Cyber Recruiter. If the files are not there or for some reason you are unsure where the Cyber Recruiter folder is located, you can check the Physical Path for the web page in IIS on the web server.
- If your web server is unavailable and you are pulling data from a backup, typically the files will reference "Cyber Recruiter"
- Custom Pages
- If custom programming has been done, these files will need to be moved as well.
- To see if you have any custom programs, go to Admin > Links > Custom Links inside Cyber Recruiter. Custom pages generally start with a number (your account number) but if you have any questions, ask your Visibility Software contact to help determine the possibility of a custom page and what additional files are needed.
What We Do
- Visibility Software creates a holding location for your Careers Site.
- Visibility Software creates a holding location for your Cyber Recruiter database and site.
- When the files arrive:
- The backup of the database is restored
- The careers pages are loaded into the new careers sites
- Cyber Recruiter and the careers pages are connected to the database - This process upgrades the software to the most recent version available
- The reporting folder is updated, thus moving your Report Writer reports
- The custom folder is updated, thus moving any customization
- Then we update links
- To the program inside the system (so hyperlinks in the emails know where to go)
- To the careers page (so applicants can apply)
- To the refer a friend page (so emails generated direct back to the new location)
- To the agency portal (so agencies can submit applications)
- Then we test
- Send emails out of the system
- Run a resume text search
- Run a report and verify the connection and the views
- Provide you with the new URLs.
What You Need to Do
- Verify navigation on the new careers site.
- Go to the new site and click on all the buttons. The site was working on your location but the change could have broken some links depending on how the website is constructed. If something is broken, this is no fault of either party; changes simply need to occur. Document them and work with your Visibility Software contact to determine the best course of action.
- Update the corporate careers site - The website moved so the link will now be different.
- If there is just one link on the page (Careers, Job Openings, etc.) then just one URL needs to be changed.
- If the navigation on the corporate site is to specific pages (i.e. Job Openings, Benefits, Profile Access, etc.) then each URL needs to be updated:
- Find the correct page in the new site for the old value (Job Openings, for example). This will be the URL which needs to be updated by IT on the corporate site.
- Trigger reminder emails for outstanding actions
- All emails have HTML code which is encrypted with the location of the system to allow for connectivity between the emails and the system. By moving the system all the HTML links are now obsolete. Triggering new emails from the system will send out updated emails with the updated link to the new location.
- You can do this quickly en mass by going to the Home page and selecting Open Activities.
- Update external job
- Jobs posted to job boards with a re-direct link back to the corporate site will no longer be relevant. Review jobs which are posted externally and update the re-direct URL and/or job description to point to the new updated location.
- Review HRIS integration
- If you are integrating to an HRMS system, the move to a cloud environment could change your integration
- No affect: ADP, Paychex, Deltek Costpoint, Deltek GCS Premier, HR Office, Lawson, Microsoft GP, NetSuite
- Will no longer work: Deltek Vision, JD Edwards
- Will work differently
- Abila - Authentication is needed for the new site
- Sage FoxPro - Dynamic integration will no longer work but new hires can be sent over via file transfer
- Sage SQL - Dynamic integration will no longer work but the process can be maintained using Web Services
