xManaging Requisitions

The Find Requisition option helps users to find requisitions based on specified criteria. The more options selected, the smaller the returned list of requisitions. If the criterion entered only has one match, users are taken into that requisition file. This eliminates the search results page for the user to have to click on the requisition found to enter the file. If the file returned is not the right one, perform the search again.

Setting for the display column are controlled by the "Req List" setting. System defaults for the column displays are set by the Administrator in the Page Builder section; however, each user has the ability to change the settings based on his/her preference via the My Preferences page; but, this page controls the defaults for the users based on their role in the system.

Option  Reference Point 
Code References the requisition code.  The code must start with the number or letter entered.
Job Title References the "Job Title" field. The field must start with the number or letter entered.
Status Looks to the "Status" code assigned to a requisition and filters based on the option selected.
Recruiter
Looks to the "Recruiter" field of the requisition and filters based on the recruiter selected.
Inactive Recruiters can still be used for searching.  The user name will appear below the ---Inactive--- section.
Hiring Manager
Looks to the "Hiring Manager" field of the requisition and filters based on the manager selected.
Inactive Hiring Manager can still be used for searching. The user name will appear below the ---Inactive--- section.
Date Requested Range
Enter a date range for the requisition.  This field references the "Requested Date" entered during the creation process.
Keyword Enter a keyword which to use to search the requisitions.  The system will search the requisition code and each of the text sections of the "Job Description" page.
Organizational Level (1-5)
Looks to the organizational levels assigned to a requisition and filters based on the value selected.
Inactive values can still be used for searching. The description will appear below the ---Inactive--- section.
If dependencies are activated, when a "Master" field is selected it will reduce the number of "Dependent" values in the list.  Leave the "Master" field blank to see all the "Dependent" value regardless of the "Master".


Requisition Files are sorted by the Code column initially in the Req List but users can sort (ascending/descending) by any column that has the up and down arrows in the header. The sort order will be saved and remain in the specified order until re-sorted. To open a Requisition File, click on the Code hyperlink field. 

Any column that has sorting capability contains the up (^)and down (v) arrows in the column header.

 

MULTIPLE DATABASES: In the Enterprise version there is an option to allow for the installation of multiple databases. If the system recognizes that there are multiple databases, the users will see an button titled PUSH To use this feature, select the job(s) to push to the other database and press the PUSH button. Select which database the job should go to and press the PUSH again.

Code Displays the unique identifier for the requisition in the system. Click on this link to re-direct to that requisition file. Always Shows
Job Title Displays the Job Title for this requisition. Always Shows
# of Routings Displays the number of routings send out.
A number represents the number of routings, not the number of applicants.
 
Applicants Hired Displays the name of the person hired.
Any Applicant who has a status for the position where the code starts with "HIRED".
 
Applicants Added Today Displays the number of Applicants connected today.
Hyperlink to the Applicants page.
 
Applicants Attached Displays the total number of Applicants connected.
Hyperlink to the Applicants page.
 
Attachments Hyperlink to the Attachments page.  
Date Needed Displays the "Date Needed" field from the General tab of the Main page.  
Date Requested Displays the "Date Requested" field from the General tab of the Main page.  
Days Between Open and Approval Displays the calculation of days elapsed between the "Date Requested" and the "Approval Date"   
Days Open Displays the calculation of days elapsed between the "Date Open" and "Date Closed".
If "Date Closed" (on the Main page) is blank, the calculation uses the current date.
 
First Approval Date Displays the date the first approver approved.  
From Salary Displays the "From Salary" field from the Job Info tab of the Main page.  
FT/PT Displays the "FT/PT" field from the Job Info tab of the Main page.  
Hire Date Displays the last date of any Applicant who has a status for the position where the code starts with "HIRED".  
Last Approval Date Displays the date the last approver approved.  
Hiring Manager Displays the "Hiring Manager" field from the General tab of the Main page.  
Number Hired Displays number of Applicants hired against this position.
Counts any Applicant who has a final status for the position where the code start with "HIRED".
 
Open Date Displays the "Open Date" from the General tab of the Main page.  
Openings Left Displays the number of openings left based on calculating "Original Openings" minus "Number Hired"  
Organizational Levels (1-5) Displays any one of the organizational levels defined on the Job Info tab of the Main page.  
Original Openings Displays the "Openings" field from the General tab of the Main page.  
Post Until Displays the "Remove Posting" field from the General tab of the Main page.  
Recruiter Displays the "Recruiter" field from the General tab of the Main page.  
Req Type Displays the "Job Type" field from the Job Info tab of the Main page.  
Requisition Reason Displays the "Reason Open" field from the General tab of the Main page.  
Salary Grade Displays the "Salary Grade" field from the Job Info tab of the Main page.  
Status Displays the "Status" field from the General tab of the Main page.  
Misc (1-20) Displays any one of the miscellaneous fields defined on the Misc. tab of the Main page.  
To Salary Displays the "To Salary" field from the Job Info tab of the Main page.  
  "Copy Req" - Starts the creation process by copying the requisition selected. Controlled by
Group Security
  "Change Code" - Allows the user to change the code (unique identifier) for the requisition selected. Controlled by
Group Security 
  "Delete" - Allows the user to delete a requisition from the system.  If deleted the requisition is permanently removed. Controlled by
Group Security
