Page Location: Admin > Codes > Organizations

This code table contains the various codes for each organizational level you activate/define. To activate these fields go to Admin > Page Builder > Requisition > Miscellaneous . As each level is entered and saved, the code table becomes available under Admin > Codes > Organizational Level.

NOTE: If the Administrator populates Org Level 1 (Locations) and then decides that Location should be Org Level 2, the code table will not follow the name. Instead, the Administrator needs to copy the code table (Admin > Processes > Copy Code Table) from Org Level 1 to Org Level 2. If the codes were never used in Org Level 1 they can be deleted.  If they have been used they should be inactivated.

Other places the Administrator will see the Organization Levels is in the Admin > Security > User > Available Reqs Tab .

Sage HRMS  NOTE: If integrating directly with Sage HRMS , matching these codes to Sage HRMS or vice versa makes the integration work more seamlessly.

User View: The Organizational Levels are available for selection or displayed in these areas:

  • Create Requisition process
  • Requisition File > Main Page
  • Reports > Requisition Reports
  • Requisition > Find Requisition
  • Requisition List (when used as a column)

Applicant View: This field is displayed with the Website > Job Browsing or Job Description Pages when selected.

Import Code Key: O1, O2, O3, O4, O5

.csv file should contain Code & Description in that order. This table must still be updated after the import to complete the setup if dependencies are being used.


Creating Organization Codes

Important Considerations:  Cyber Recruiter codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Recruiter is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Recruiter system. These combinations include: SP_ or sp_ and XP_ or xp_. A double dash will be converted to a single dash. Additionally, because these codes can be used to create the requisition code, do not use spaces or colons in the code. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

After clicking "Add  new record" enter in the necessary information to create a new code. 

Field  Purpose 
Code Unique Identifier for the drop-down option.  This code is written in the raw data and is referenced to determine the description to show on the screen.  If the code is removed from the Admin > Codes section, this value will still be in the Requisition file for reporting purposes.
When importing data for a Requisition use this value for the import spreadsheets.
Description This is what is displayed on the screens and on the website for searching.
Applies To This option only shows when dependencies are activated.  If activated, a drop-down will appear allowing the user to select the code from the "Master" list to which this code is the "Dependent". 

For example, if Divisions (Org 2) are dependent on Locations (Org 1).  Then when adding a code to Divisions (Org 2) the Applies To will be populated with the list of Locations (Org 1).  Using the drop-down list, select to which Location this Division is related.  When the codes are used, the user will select the Location and the reduced list of Divisions will appear based on this setup.
NOTE: This is a one to one relationship.  If a Division (for example) applies to more than one Location, the dependencies will not work and should be turned off under Admin > System Setup.
Comment Enter a comment about this organizational level.  This is often used to track information which can then be posted out to the website using the {OrgDesc} merge field when grouping by organizational level.

Inactivating Organizational Levels

Organizational Levels can be inactivated.  When the code is inactivated it will no longer be an option to select when updating the system or displayed in grouping/search options on the website. Inactive codes in search lists and reports inside Cyber Recruiter will be segmented so all active codes appear first and then inactive codes appear under a header ---Inactive---

To inactivate a code, edit the code and checkmark the option for 'Inactive'.
