NOTE:  This version includes a change to the way the links to the job listing works. It requires the use of the Apply To URL field and "mobile" parallel site are now only leveraged for the application process.  This version is only required if you have an Enterprise level system with multiple databases and a corporate job board which pulls all the jobs to a central location for job browsing.

Preparation

If you are upgrading from a version prior to 10.0, before upgrading to this version, be sure to review the technology requirements and the preparation videos. Once you have reviewed the information, reach out to the support team to get the files for the upgrade.

If you are on 9.1.3 or 10.x you can verify the "Apply to URL" is used and populated - v10.7 (Why? because this field is vital for the job descriptions to display on the careers site.  Additionally the feed for Indeed and the Refer a Friend feature use to populate the URL to get to the job description page). If you are on an older version, this MUST be done after the version 10 upgrade.

  1. Go to Admin | Page Builder | Requisition | Miscellaneous
    1. On the General tab, make sure there is a caption for the field "Apply to URL".
    2. If the caption is blank, type in a caption to make it appear on the Main page of the requisition
  2. Go to Req List
    1. Click on the first job to open the Main page of the requisition.
    2. Verify there is a value in the "Apply to URL" field. 
    3. If there isn't, enter in a value. This should be the URL of the first page of the careers site (for example: www.mywebsite.com/careers). It should not have the /careers.aspx portion
  3. BONUS: Go to Admin | Page Builder | Requisition | Create Req Form | Wizard Layout
    1. Edit the Main page
    2. Verify the "Apply to URL" is a field on the page (it does not have to be viewable)
    3. If it isn't on the page, click [empty] to assign an empty space to the field.  If you don't see [empty], click Add Row to add a new row of blank fields
      1. Visible = Set to Yes if you want to see this field on the creation page 
      2. Enabled = Set to Enabled if you want to allow changes to this field during the creation
      3. Caption = Type in Apply to URL
      4. Field = Apply to URL
      5. Required = Yes
      6. Default = This should be the URL of the first page of the careers site (for example: www.mywebsite.com/careers). It should not have the /careers.aspx portion
    4. If you have more than one careers site pulling jobs from Cyber Recruiter, it is recommended to have the field Visible and Enabled. If there is just one careers site, it is recommended this field be disabled and not visible.  This will add the value to the requisition but ensure nothing is changed in the default URL which would break the link. 

 

If you are already on 10.0, 10.1 or 10.2, take these additional steps to prepare for the Indeed XML feed, included starting with v10.3.

  1. Add a new Applicant Status (Why? because the "Indeed Apply" feature will use this status when adding applicants to your system) 
    1. Go to Admin | Codes | Applicant Statuses
    2. Click Add New Record
      1. Code = INCOMPLETE-INDEED
      2. Description = Incomplete-Indeed
      3. Is an Overall Status = Checked
    3. Press the disk icon to save the record
  2. Check Referral Sources (Why? because the URL back to your system and the "Indeed Apply" feature will use source when adding applicants to your system) 
    1. Go to Admin | Codes | Referral Sources
    2. Check the list to see if you have a source for Indeed.  
      1. If the code is INDEED, nothing else is needed
      2. If there is no source
        1. Click Add New Record
          1. Code = INDEED
          2. Description = Indeed
        2. Press the disk icon to save the record
      3. If there is a source for Indeed but the the code is not INDEED
        1. Edit the current source and check the box to make it inactive and save the record
        2. Click Add New Record
          1. Code = INDEED
          2. Description = Indeed
        3. Press the disk icon to save the record
  3. Set up a default address for the system (Why? because the feed needs to have City, State and Country and fields can be mapped to the system default) 
    1. Go to Admin | System Setup
    2. Click on the caption "Company Name"
    3. Fill in a default address (corporate office, for example) 
    4. Press the disk icon to save the values
  4. Verify the "Apply to URL" is used and populated (Why? because the feed to Indeed must have the URL to the job included and this field is used to populate the URL)
    1. Go to Admin | Page Builder | Requisition | Miscellaneous

    2. Go to Req List

Additions

  1. Custom Captions for the Careers, Online Application and the Self Service module have been added to the system. YOU MUST TAKE ACTION AFTER THE UPGRADE OR YOUR APPLICANTS WILL NOT BE ABLE TO APPLY. This new features allows you to take additional control over the public facing website.  This is a major feature change and does require a little preparation and setup. View in Full Screen
  2. v10.3 - Indeed Job Feed YOU MUST TAKE ACTION AFTER THE UPGRADE OR YOU JOBS WILL NOT BE SENT TO INDEED. For details on the setup of this feature, review the page specific to the Indeed Setup.
  3. A [GUID] variable has been added as an option for the Custom Link feature so it can be used in combination with a URL.View in Full Screen


    • This allows a user to have GUID assigned to the user account in two systems and if the values match in both systems, the user will be automatically logged into the system identified in the link.  For example, if your organization has both Cyber Recruiter and Cyber Train, you can activated the GUID feature in both systems (under System Setup) and assign a unique identification for each user (different from the user ID) in the user security in each system.  Then, under Admin > Links > Custom Links, enter the URL for the login to Cyber Train and add suid=[GUIDValue] to the end (for example: http://yourURL/CyberTrain/Default.aspx?suid=[GUIDValue] )
  4. The Report Writer tool has been updated.  With the update many features were added.  Here are few highlights. View in Full Screen
    1. Dashboards can be saved into any folder, not just the 'dashboards' folder. This will allows more diversity in the security access for dashboards.
    2. A second 'Chart' option has been added.  Reports can now have two charts instead of just one.
    3. A 'Map' option has been added. This feature allows you to plot data based on World, USA, Europe or Australian maps.
    4. A form designer has been added which allows you to design reports in a way that could merge data into a form instead of just reporting in a column/table format. This is a great option if you need to create physical postings for job announcements.
    5. We recommend that temporary internet files are deleted whenever an update to the Report Writer is done. Also, make sure popups are not blocked which can stop the Report Writer toolbar items from working.
  5. "Refer a Friend".  This feature was removed and is now back with a twist.  This feature allows a person viewing to the job description to send an email to someone with information about a job.  Previously this feature pulled in job details and relied on the SMTP server used to send emails out of Cyber Recruiter to send the email.  The update feature allows the person viewing the job description to launch their own email program.  The email will prompt with information about the job and a link to view the job (you must be using the Apply Now URL for this feature to work correctly). The person sending the email can then update the content with a personal message.  View in Full Screen
  6. "Gender X" added as an option for gender selection. 
  7. Features Specific to Systems with Multiple Databases
    1. New feature in the Enterprise systems with multiple databases allows a user to push a job from one database to another so you don't have to duplicate the requisition creation process.
    2. v10.2 - A table in the primary database has been established to store the name of the "subsidiary" databases along with the connection strings.  Instead of storing these in the web.config files they will be stored in the table instead and the login page will point to the table to determine the drop-down and databases for the connection. There is additional setup needed to make this feature work.  Please reach out to the support team for additional details.

Changes

  1. System Technology Changes
    1. This version can run on SQLExpress 2017. 
    2. System now runs in an application pool with .NET 4 instead of .NET 2.  This needs to be changed during the upgrade process. See upgrade instructions for additional details.
    3. System is now a 64 bit application instead of a 32 bit application. 
    4. Encryption protocols have been updated. Details related to all the necessary connection changes and the steps are included in the upgrade instructions. A quick list is here for your reference.
      1. Connection between the program and database
      2. Connection between the careers site and the database
      3. SMTP Authentication
      4. Any integration which tracks a username and password which is not shown on the setup page in Cyber Recruiter
      5. Emails with hyperlinks for responses will need to be resent after the upgrade if they were outstanding
      6. Careers pages which are hard-coded to already encrypted pages will have to be updated on the corporate site. If you aren't sure if this is you, ask us and we will help you decide. 
      7. Job Boards posting to a full URL (not the shorten URL with just the req code).
    5. Various controls in the program have been updated.  This has resulted in better formatting for the bullets and resolved an issue which was occurring in Internet Explorer when accessing a page that has an editor tool on multiple tabs of the same page (Job Description page for example).
    6. The Port Value for SMTP authentication defaults to Port 25 if a blank value or 0 value is entered into this field on the System Setup page.
    7. v10.2 - Bulk Resume Import tool updated to have the new parsing code and work with v10.  A new file can be downloaded at this location: v10 Bulk Resume Upload Program
  2. Screen Changes
    1. Help icon on the login page ports the viewer directly to Help Central instead of having a middle page.
    2. v10.2 - Button on the ZipRecruiter page has been changed from 'Boost' to 'Send Now!!' because it was confusing to have the button say boost and a checkbox to boost the posting. Make sure and do a hard refresh to see the changed buttons.
    3. v10.2 - In the "green" view of the product the Applicants page now correctly shows the green or pink based on the status/referral source even if on the line which would be grey. Logic:  Overall Status = HIRED - will be green. Position Referral Status = EMPREF - will be pink. If someone is HIRED and the position referral source is EMPREF, the person will appear in green. All other scenarios use the default colors on the page.
    4. v10.2 - When adding in an applicant manually, the referral source selected for the applicant is added to the position referral sources if a requisition is connected at the time of entry.
  3. Report Writer Update
    1. Access to design the reports via the dashboard has been tightened up so that if you cannot design the reports, you cannot get to the icon to edit the reports (only to view it). There is no separate security to prevent the modification of the dashboard, so if a user has access to a dashboard then he/she would have the ability to add or remove reports from the view.
    2. Reports with different date ranges can now be displayed on the same Dashboard.
    3. The link to update the views of the report writer via a link on the Report Writer Maintenance page has been removed.  This was forcing the system to update the views from an outdated source. Instead, all of this is done through the scripting and updates to the program.  If something needs to be updated in between cycles, it can be done manually in SQL manager with the guidance of the support staff.
    4. Report Writer code updated to pull the credentials from the system setup page to the settings section for sending out the emails using the iZenda scheduling tool. After the upgrade if the client is using this tool, it should be set up again in the task scheduler so it points to the updated exe and location of the program files.
    5. Database format adjusted so the misc fields converting to dates in the tables and the views appear correctly. With this adjustment, the miscdate fields now can be used in time calculations and filters. This changes requires SQL 2012. Additionally, in SQL Server Manager, make sure compatibility is set to 2012 or greater. Right-click on the CyberRecruiter database, choose Properties and then choose the Options page . The "Compatibility Level" must be set to 'SQL Server 2012 (110)' or later.
      The compatibility level should be set before the database refresh is done.
    6. Field added to the following views so that the Other Source connected to each position (PositionOtherSource) could be displayed.
      Applicants connected Requisitions
      All Applicants and connected Requisitions
      All Requisitions and connected Applicants
  4. The requisition creation process has been updated so if the zip code field is being collected at the creation stage it correctly saves to the requisition table and does not have to be keyed in again.
  5. Routing email updated so the {ReqQ} field which pulls the requisition questions and answers will merge the data when launched from the careers module and not just from inside the system.
  6. v10.2 - When you creating an applicant search and include the criteria "Status on Requisition is..." the values available are now all values and not just the overall status choices. 
  7. v10.7PDF creation tool used to create offer letters has been updated to recognize the margin settings established in the template.
  8. Onboarding Process
    1. Emails generated by the on-boarding process now correctly pull the start date from the offer selected and not just the most recent offer in the offer list if there are multiples.
    2. Update the onboarding page date/status logic. Effective Date of Application Status will control (1) If the Overall Status has changed, then it’s updating the applicant.status and the applicant.statusdate. If the status starts with HIRED, then it is also updating the applicant.hiredate. and (2) If the Applicant Job Status (appreq.status) changes then it updates the appreq.status and it also updates the appreq.statusdate. Effective Date of Requisition Status will control (1) If the Req Status changes then it will update the requisition.status and (2) If the status is set to C or starts with CLOSED, then it will  update requisition.closedate as well.
  9. Wording on the Home page for outstanding action related to the requisition approval process has been updated to reference that the requisition was created on a specific dates and not opened on a specific date. 
  10. The link on the user security detail page to control the access to other users inboxes (caption Can see other inboxes?has been updated and now opens to allow for the selection of the users.
  11. The connection between the misc. fields setup and values for drop-downs and the on-boarding process/page has been tightened up. If the misc page is updated (changing the value from short text to drop-down) the on-boarding setup page is updated. If a value is added to the code table, the value is added as an option to the on-boarding setup page. If a description is changed in the on-boarding page it is saved for the questionnaire page but not written back to the misc. setup page. NOTE: if a value is added to the on-boarding page but then inactivated in the code table, this is not removed from the on-boarding drop-down.  Removing it from the on-boarding drop-down would remove the value from the applicant's page.  This will be addressed in a future version.
  12. Careers Module
    1. v10.2 - Encryption has been removed from the 'careers' page. It is still in place for the 'appselfservice' page.  This was done so job board which scrape a site will pull the right URL for the jobs and not the encrypted URL which can change (with program updates) and  often has characters which are not translated correctly. If you have more than one careers site connected to the database, the path to maintain the site needs to be updated.  In previous versions the path included content after the ? which was the encrypted link to the starting page.  (example: Careers.aspx?adata=EJu68NhwscbJy6l0nNE06AJLfWAIaU2pv0YvQRg0Djev).  This section is no longer needed and should be 
      Careers.aspx?type=CAREERSMAIN instead.
        
    2. v10.2 - The page has been updated so if the site can not unencrypt the URL, it will direct the viewer back to the starting page instead of generating an error.  To ensure this feature works correctly, make sure the page references is set to CareerPageURL instead of CareersPageURL.  This is documented in further detail in the upgrade instructions. 
    3. Updated to ensure the the referral source is captured if the applicant is being directed to the site via a link with the referral source included (where the rf=SOURCE is listed) and the applicant starts the process by parsing a resume.
    4. Updated to ensure the referral category for returning applicants does not pre-populate with the answer from a previous application. 
    5. Control for the upload tool for the resume attachment to the Resume page (not parsing) has been updated. The new tool has the ability to read various files type (doc, docx, pdf, rtf) and will pull the text version of any of them. 
    6. SMTPAuth.exe updated to have new encryption mirroring the rest of the program.  After the update, if authentication is in use, this program needs to be run to update the passwords for the email server.  Details are in the upgrade instructions.
    7. The task notification feature has been updated to reference the appsettings-overwrite file first, before the system setup page, to get the credentials to send out the email notification for the task in case there are different credentials being used in careers than in the core product.
    8. PDF creation of the application when applying to a job is working again.  Two issues were resolved. (1) Error message was not being put in errorlog table due to invalid parameters. and (2) There was an license error with the pdf converter (EvoPdf.HtmlConvertException: Could not save the PDF document. The license is for a previous major version.) The license is hard-coded as pdfConverter.LicenseKey in the Careers app. This tool has been removed and a new one is now in use. 
    9. v10.3Country field now correctly saves on the questionnaire page to the country field in the applicant table. It can be seen on the questionnaire page as well as the demographics page correctly.
    10. v10.3 - Personal information page updated to make sure the field shows when the caption is entered.
    11. v10.3The system now checks the on-boarding section to see if there are forms to review. If there aren't any forms, it finishes the process, marks the task as complete and and takes the applicant back to the home page.
    12. v10.4 - On the employment history page, the setting to force the date format is now being obeyed.  In the first versions of v10 the field for employment dates was forcing the date format regardless of the setting defined in the setup.
    13. v10.4 - On the contact info page, the setting to require the email address is now being obeyed.  In the first versions of v10 the field for email address was forcing the requirement regardless of the setting defined in the setup.
    14. v10.7The merge fields for the benefits page on the careers site now correctly displays the benefits from the setup.
    15. v10.7 - The Job Title on the careers site now uses the logic from the ApplyURL to determine the path to the job. 
      Customers need to make sure the "ApplyURL" is completed or clicking on the job title will display a 'resource cannot be found' error message. The "mobile' site should only be used for the Application process and not the careers pages.
  13. Integrations
    1. Sage SQL direct and WebAPI integration updated so a value is sent over for p_eerpt.  If the company is Canadian, the integration fills the field with Y, if it is not Canadian, then it sends over an N. NOTE: Clients using the WebAPI integration will need to download the updated SageAPI to enabling this feature change. Download file here.
    2. Sage SQL direct and WebAPI integration updated so a value of 'E' is sent over for p_language. NOTE: Clients using the WebAPI integration will need to download the updated SageAPI to enabling this feature change.
    3. JD Edwards integration updated so that (1) Column "WHO4" added and the email address from demographics populates the column. (2) REM1 (EBI value) is written with any submission where the number is on the page. and (3) Update the mapping of the phone number so the home phone goes to AR1 and PH1 and the cell phone goes to AR3 and PH3.  Right now the initial submission is saving the home to AR1 and PH1 and then if the person is resubmitted it is saving to PH3.
    4. Great Plains integration updated so the driver's license information (number and state) can pull from the misc fields.  If the misc fields are selected, the Great Plains page will pull from the misc field and write to the Great Plains  table. In the export, the state and number will be in column BI and the expiration date is in column BJ.
    5. v10.8 Abila's integration was update to allow for integration to the cloud version.  The setup page now includes a field for the OU field which is required for the cloud version. 
    6. v10.8 AccessPI integration has been updated to work with the new encryption for version 10.
