xMy To-Do List

Page Location: |Home| > My To-Do List

Items will appear on this list for one of four reasons.
  1. The user navigated to this page and pressed the 'Add New Record' option on the table and added a to-do for him/herself.
  2. The user right-clicked in the header of Cyber Recruiter (the same row as the |Home| link) and selected to 'Add To-Do' for him/herself.
  3. The user added a Note to an applicant or requisition and specified that there was a follow-up to be done on a specific date.
  4. The user added a Task to an applicant file which is assigned to the user logged in.
  5. Another user added a to-do or re-assigned a to-do to the user who is logged in (meaning, the user who has a to-do was NOT the person who originally entered in the to-do).

 

Outstanding Items will appear on the Home Page 7 days prior to the due date to draw attention to the outstanding item.  

Use the standard process for adding to-do (see below) if one of the two scenarios is needed.
  1. The to-do should be connected back to a requisition or an applicant.
  2. An email with the to-do information should be emailed to the user who is being assigned a to-do.

Adding a To-Do

If the to-do is just a reminder and doesn't need to be connected to an Applicant or a Requisition file, fill the form out as follows, and press the Save Changes button to record the item.

Field  Purpose/Action 
Created Date Will default to the current date but can be changed if needed.
Applicant Leave this field blank
Requisition Leave this field blank
Due Date Enter the date the to-do should be accomplished.  When this date is reached, a reminder will appear on the Home page.
Item Enter the details for the to-do to accomplish (call xyz, send paperwork to screening company, etc.)
User Will default to the current user but can be changed to another user if the to-do is for someone else.
Email User If the user is changed, it is recommended that an email be trigger to the user so he/she knows that a to-do has been added.

Adding a To-Do to an Applicant's File

If the to-do needs to be connected file and is related more to an Applicant than a Requisition, fill the form out as follows, and press the Save Changes button to record the item. 

Field  Purpose/Action 
Created Date Will default to the current date but can be changed if needed.
Applicant Click on the Find Applicant link to open a search box to find the correct applicant.

After the applicant is connected, if the applicant was selected incorrect, press the icon to remove the applicant from the to-do.
  Applicant Note This field will appear after the Applicant has been selected.  Select which applicant note type should be assigned to the information stored within this to-do.

Note: This field is not required.  Selecting a note type will add the record to the Applicant's Notes page.
Requisition All of the requisitions to which the applicant is connected will display in the drop-down for 'Requisition'.  If this to-do is related to a specific requisition this applicant has applied to, select it from the drop-down list.  Otherwise, leave this field blank.

Note: This field is not required.  
  Requisition Note This field will appear after the Applicant has been selected.  Select which requisition note type should be assigned to the information stored within this to-do.

Note: This field is not required.  Selecting a note type will add the note to the Requisition's Notes page.
Due Date Enter the date this to-do is due.  This will become the Follow-Up date of the note.

Adding a To-Do to a Requisition File

If the to-do needs to be connected file and is related more to an Requisition than a Applicant, fill the form out as follows, and press the Save Changes button to record the item. 

Field  Purpose/Action 
Created Date Will default to the current date but can be changed if needed.
Applicant All of the applicants to which the requisition is connected will display in the drop-down for 'Applicant' after the requisition is selected.  If this to-do is related to a specific applicant, select the name from the drop-down list.  Otherwise, leave this field blank.

Note: This field is not required.  
Requisition Click on the Find Requisition link to open a search box to find the correct applicant.

After the requisition is connected, if the requisition was selected incorrect, press the icon to remove the requisition from the to-do.
  Requisition Note This field will appear after the Requisition has been selected.  Select which requisition note type should be assigned to the information stored within this to-do.

This is a hard-coded email (not available for edit under Standard Templates) which includes the user who added the to-do as well as the note/item entered.

Press Save Changes to finish the process.

To-Do Summary List

This summary view is sorted first by the Due Date and if there is more than one item on the same date, the next sort is by the order of the to do entered.  The table can be re-sorted by clicking on the column header.

From the Summary page, many actions can be taken regarding the to do items. 

Location  Option  Purpose 
Above the Table  Show Incomplete Only Checking this option will refresh the list and remove all to-dos where the Completed column has a date.
  Hide Future Items Checking this option will refresh the list and remove all to-dos where the Date Due is in the future.
  Delete Complete Clicking on this button will remove all to-dos from the list where the Complete column has a date.  This will not remove the original note connected to the requisition or applicant - only the to-do  item.
Table Columns Allows the user to edit the to-do to make adjustments.  See the next section for additional details.
  Item Provides the content of the task for quick reference when viewing the summary view of all to-dos .
  Related To Will list the applicant's name or requisition code / job title based on the note details.  This field is a hyperlink.  Clicking on it will direct the user back to the correct file.
  Created Date Displays the date the to-do was entered.
  Due Date Displays the date the to-do is/was due.
  Completed Displays if this to-do is done or not.  If a to-do has been completed, a date will display with the date it was completed.  Clicking on this date will display the information specific to the completion and will allow the user to add another to-do if needed.

If the to-do  is showing on the list as outstanding (No) but is actually complete, click on the No to indicate it has been completed. 

When completing the to-do : 
    Completed To-Do Tab
    NOTE: If a To-Do was a "follow-up" connected to a note added to a requisition or an applicant, a new note will be added to the applicant / requisition file with the "completion" information.  
    Complete Date: Will default to the current date but can be changed.
    Completed By: Will default to the user assigned but can be updated.
    Note: Enter a note related to the completion (if needed)
    Add a New To-Do Tab
    NOTE: This option is not displayed for the "Task" option, only for to-do or note follow-up completion.
    Due Date: If adding a new to-do, enter when it is due.
    Assigned To: If adding a new to-do, enter who should complete the to-do.
    Note:  If adding a new to-do, enter the details.
  Allows the user to delete this to-do item from the list.

Editing a To Do

Clicking on the icon allows the user to update three items related to the to-do . 

  1. The user will be able to update the 'Due Date' for the to-do .  If this is connected to a note for an applicant or requisition, the 'Follow-Up Date' will be automatically updated.
  2. The user will be able to update the 'Item' which stores the description for the to-do to include any additional information.
  3. The user will be able to re-assign the to-do to another Cyber Recruiter user.  If this action is taken, the user will have a sub-option to email the details to the user who has been assigned.
