xTask Emails

The following emails are all related to the Task assignment process.  A "Task" is an outstanding item related to an applicant which needs to be completed by a specific user, external contact, recruiter, manager or applicant.  

New Applicant Task - Applicant Email

This email is triggered when a task is added to the applicant Task page which is assigned to the applicant. Information in the email should help the applicant determine what needs to be accomplished, how to interact with the system and how to complete the task. 

Field  Description
Name  This is the name of the email.  This is not editable.
Subject  This is the subject line of the email which the applicant will see.
Text/Merge Fields This is the body of the email.  Merge fields show in curly brackets { } will pull information from Cyber Recruiter to post into the email. 

Merge fields can be added to the emails to make them custom to the applicant who will receive it.  To add a merge field, place the cursor on the page where the merge field should appear.  Then, go to the "Fields" drop-down box and find the field to add and press the "Add" button. 

Available Merge fields include:

Applicant Date Date the Applicant applied to the system.
Applicant Number Automatically assigned number for the applicant. 
Applicant First Name "First Name" stored on the Demographics page.
Applicant Last Name  "Last Name" stored on the Demographics page.
Applicant Middle Name "Middle Name" stored on the Demographics page.
Applicant in Last Name, First Name format Name in the specified order.
Applicant in First Name Last Name format  Name in the specified order.
Applicant Street Address "Street 1" and "Street 2" stored on the Demographics page. 
Applicant City, State/Province, Zip/Postal "City", "State/Provence" and "Zip/Postal Code" stored on the Demographics page.
Applicant Country "Country" stored on the Demographics page.
Applicant Home Phone "Home Phone" stored on the Demographics page.
Applicant Work Phone "Work Phone" stored on the Demographics page. 
Applicant Work Ext "Work Phone Extension" stored on the Demographics page. 
Applicant Cell Phone "Cell Phone" stored on the Demographics page. 
Applicant Fax Number "Fax Number" stored on the Demographics page. 
Applicant Email Address  "Home Email" stored on the Demographics page.  This can be used for the Self Service login.
Applicant Resume   
Text version of the Resume typed in or parsed during the creation process.  Stored on the Demographics page and to the Resume page.
Cover Letter
Text Cover Letter stored on the Cover Letter tab of the Resume page.
LinkedIn Profile "LinkedIn" Profile URL stored on the Demographics page.
Overall Status "Overall Status" stored on the Status/History page.
Status Date "Status Date" associated with the Overall Status on the Status/History page.
Position Desired "Position Desired" stored on the Application page.
Referral Source "Referral Source" stored on the Application page.
Link to Self Service This is a mail merge field which creates a hyperlink to the Self Service login page.  The field has two parts to the merge field. "SSLink" is the programming that goes to the self service page, overwrite the text "Enter Caption Here" with what should be shown in the email as the hyperlink to click. 
Self Service Login "Self Service Login" field on the Application page.  This will not be the actual login for the self service module if the "Custom Login" option is not being used.
Self Service Password Applicant's password stored on the Application page. 
Misc (1 - 20) Field description from the specified field connected to the applicant.
Requisition Description "Job Title" connected to the requisition for which the task is being sent.
Requisition Code "Code" connected to the requisition for which the task is being sent.
Manager of Requisition (Full Name) "Manager" connected to the requisition for which the task is being sent.
Manager of Requisition (User ID) User ID for the Manager connected to the requisition for which the task is being sent.
Recruiter of Requisition (Full Name) "Recruiter" connected to the requisition for which the task is being sent.
Recruiter of Requisition (User ID) User ID for the Recruiter connected to the requisition for which the task is being sent..
Requisition Job Description "Job Description" (tab 1 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Requirements "Requirements" (tab 2 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Public Job Description "Public Job Description" (tab 3 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Other Description "Other Description" (tab 4 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Organizational Level (1-5) "Organizational Level" (1-5) field description connected to the requisition for which the task  is being sent.
Requisition Miscellaneous (1-20) Field description from the specified field connected to the requisition for which the task  is being sent.
Task "Task Detail" added on in the task.
Task: Date Created "Date Created" defined when the task is created.
Task: Due Date "Date Due" defined when the task is created.
Task: Assigned To "Assigned To" will be the applicant's name in this case because the email is programmed to go to the applicant. 
Task: Note "Note" stores any additional information which can be passed to the applicant. 
Link to mark as complete Not applicable for applicant tasks.
Company Name Pulls the Company Name listed on the System Setup page.

New Applicant Task Created - Cyber Recruiter User or External 

This email is triggered when a task is added to the applicant Task page which is assigned to a user of Cyber Recruiter or to an external contact. Information in the email should help the individual specified determine what needs to be accomplished, how to interact with the system and how to complete the task. 

Field  Description
Name  This is the name of the email.  This is not editable.
Subject  This is the subject line of the email which the task owner will see.
Text/Merge Fields This is the body of the email.  Merge fields show in curly brackets { } will pull information from Cyber Recruiter to post into the email.

Requisition Public Job Description "Public Job Description" (tab 3 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Other Description "Other Description" (tab 4 of the Job Description page) connected to the requisition for which the task is being sent.
Requisition Organizational Level (1-5) "Organizational Level" (1-5) field description connected to the requisition for which the task  is being sent.
Requisition Miscellaneous (1-20) Field description from the specified field connected to the requisition for which the task  is being sent.
Task "Task Detail" added on in the task.
Task: Date Created "Date Created" defined when the task is created.
Task: Due Date "Date Due" defined when the task is created.
Task: Assigned To "Assigned To" will be the name of the person who own's this task - the person recieving the email. 
Task: Note "Note" stores any additional information which can be passed to the applicant. 
Link to mark as complete This merge field provide a quick link for the applicant to indicate that the task has been completed.  If the task has a person defined who should be notified when this is pressed, the system will trigger an email to the peson specified in the specific task. 
Company Name Pulls the Company Name listed on the System Setup page.

Alert: Task Due in ... (User) 

This email is triggered as part of the Alert module.  This email should be configured first and then can be assigned to the Alert (via the Page Builder page with the same name) of the same name to remind a user that a task is outstanding.

Link to mark as complete This merge field provide a quick link for the applicant to indicate that the task has been completed.  If the task has a person defined who should be notified when this is pressed, the system will trigger an email to the person specified in the specific task. 
Company Name Pulls the Company Name listed on the System Setup page.
Signature Pulls the signature block for the user sending this email from the tab stored under My Preferences.
